HandWritten Wellness Policies & Procedures

Zero Tolerance Policy for Inappropriate & Abusive Behavior

This policy is established to create a safe and comfortable environment for all clients and therapists during massage sessions. It is the policy of HandWritten Massage & Wellness to prohibit any form of sexual harassment, as defined and prohibited by law.


Definition of Sexual Harassment: Sexual harassment is any unwelcome behavior of a sexual nature that creates a hostile, intimidating, or offensive environment. This includes, but is not limited to, unwanted advances, comments, requests for sexual favors, or any other verbal or physical conduct of a sexual nature. 


Prohibited Conduct: All forms of sexual harassment, whether verbal, non-verbal, or physical, are strictly prohibited. This includes:

  • Inappropriate comments or jokes of a sexual nature.
  • Unwanted advances, propositions, or requests for sexual favors.
  • Displaying or sharing sexually explicit materials.
  • Inappropriate touching or physical contact.
  • Any behavior that creates a hostile or intimidating environment.


Sexual misconduct is absolutely forbidden. Clients understand that any illicit or sexually suggestive remarks comments, advances or gestures will result in the immediate termination of the session. The massage session will be terminated immediately; should a client make any sexual advances and/or requests. Even questionable sexual discussion, can be cause for termination as per the therapist’s discretion. Massage therapy is therapeutic in nature and is NO WAY SEXUAL. Under NO CIRCUMSTANCES do we condone or perform any kind of massage even remotely associated with sexual massage. This is a ZERO TOLERANCE POLICY. Please RESPECT the professional boundaries that exist between therapist and client. Professional treatment is an absolute must. Inappropriate or Immoral behavior will not be tolerated. A session will not be conducted if the client is intoxicated, under the influence of drugs or threatening the safety of the LMT, the safety of others in the studio space, or becomes a danger to themselves. Intimidating verbal harassment will not be tolerated as the LMT cannot maintain proper therapeutic Boundaries or provide effective unbiased treatment under threat of retaliation or coercion. If any of these behaviors take place within studio setting, the LMT has the right to stop treatment and ask the client to leave the premise.  Refusal can result in reporting to the police for trespassing. The client (s) will be held accountable for full payment of their session booked, in order to compensate for the time which was held exclusively on their behalf, as per the treating therapist discretion.

Client Responsibilities

Personal Hygiene:


As we don't have shower facilities on-site, we kindly request that you bathe thoroughly from head to toe before your scheduled appointment. We also ask that you refrain from using strong scented body products, perfumes, or colognes. Outside of occasional aromatherapy, we strive to maintain a scent-free environment to ensure a comfortable and allergen-free experience for all clients and therapists. Your consideration helps create a comfortable environment for everyone.


Open Communication:

Your health and safety matter to us. It's essential that you promptly notify your massage therapist of any changes in medication, injuries, or medical conditions, as well as updates to your intake form. This information is crucial for providing a tailored and secure treatment experience.


Ensuring Effective Treatment:

By keeping your massage therapist informed of any new developments, you enable us to customize your session to meet your needs safely and effectively. Open and honest communication about changes in your health status before each session is highly encouraged.


Your Well-Being Matters:

Your massage therapist is here to provide you with the best care possible. By sharing any relevant updates, you help us create a treatment plan that aligns with your current health status. This proactive approach enhances your experience and avoids any potential complications.

Your cooperation with these responsibilities not only ensures your well-being but also contributes to a harmonious and respectful environment for everyone. 


Intake Form Requirements

At HandWritten Wellness, the intake form is a vital part of providing you with a safe, personalized, and effective massage experience. It is required that all clients complete the intake form at least 24 hours prior to their appointment. This allows adequate time to review your health history, address any contraindications, and prepare for your session. If you are unable to meet this deadline, you must receive prior approval from the therapist, or your appointment may be canceled.


Why Is the Intake Form Important?


  1. Safety First: Some health conditions may make massage unsafe or require adjustments to ensure your well-being. The intake form helps identify these contraindications before you arrive.
  2. Tailored Care: Your form provides insights into your specific needs and goals, enabling us to customize your massage for maximum benefit.
  3. Single-Therapist Studio: As a single-therapist operation, every minute matters. Completing your form on time ensures a smooth experience for all clients.


Confidentiality

All information provided is confidential and used solely for the purpose of ensuring your safety and delivering the best care possible.


Non-Completion Policy

Failure to submit the form within the required timeframe will result in automatic cancellation of your appointment. Unlike large wellness chains, HandWritten Wellness is independently run, and preparation is key to maintaining high-quality service. Late cancellations also disrupt the schedule for other clients who are eager to prioritize their wellness.


Contraindications

Certain conditions may prevent you from receiving a massage or require special accommodations. These must be identified before your session begins to avoid harm. Examples include but are not limited to:

  • Recent surgeries
  • Skin infections or wounds
  • Cardiovascular conditions
  • Pregnancy-related complications


Steps to Complete Your Form


  1. Check Your Email: Look for an email titled "Health History Intake Form" after booking. If you don’t see it, check your spam folder.
  2. Fill It Out Thoroughly: Include your full legal name and detailed health history. Incomplete forms may delay the process or result in cancellation.
  3. Submit on Time: Ensure the form is submitted at least 24 hours before your session.


Exceptions

If you’ve booked a same-day or emergency appointment, exceptions can be made with prior therapist approval.


Assistance

If you experience issues accessing or completing the form, reach out immediately for support. We’re here to ensure the process is seamless.

Cancellation Policy, Illness & No-Show

We're dedicated to providing you with the best possible experience during your appointment at HandWritten  Wellness. To ensure we can accommodate all our valued clients and make the most of our therapists' time, we have a policy in place for cancellations and no-shows.


Respecting Your Appointment:

Your appointment time is reserved exclusively for you. A late cancellation or a missed visit means that another client who could have benefited from our services may have missed the opportunity.


Cancellations and Changes:

If you need to cancel or reschedule your appointment, we kindly ask for a minimum of 12 hours' notice. This allows us to offer your time slot to another client who may be in need.


Fees for Late Cancellations:

Clients who provide less than 12 hours' notice for a cancellation or appointment change may incur a $25 cancellation fee. Additionally, a security deposit or the full fee may be forfeited, depending on the circumstances.


Illness Policy

If you are feeling unwell, especially with symptoms of airborne illnesses such as RSV, the flu, or other contagious conditions, please notify us as soon as possible, even if you are outside the 12- or 24-hour cancellation window. We encourage clients to reschedule their appointments for a time when they are feeling better to ensure the health and safety of everyone. HandWritten Massage & Wellness operates within a shared space, and it is our priority to maintain a safe environment for all clients and therapists.

  • Protects vulnerable individuals in shared spaces from potential exposure to illnesses.
  • Ensures you receive the full benefit of your massage when feeling well.
  • Allows us to accommodate other clients on our waitlist.


We appreciate your understanding and cooperation in prioritizing health and wellness. Let us know promptly if you need assistance rescheduling due to illness.


No-Show Policy:

For clients who miss their scheduled appointment without prior notice, we have a no-show policy in place. The full service fee will be charged, along with a $25 no call/no-show fee if applicable.


Contacting Us for Cancellations:

If you need to cancel or reschedule, please do not reply to an SMS reminder, as that number is not monitored and will not constitute a valid cancellation. Instead, please send an email or contact us directly at 240.730.4455 to ensure your cancellation is properly recorded.

We appreciate your understanding and cooperation with our cancellation and no-show policy. By adhering to these guidelines, you're helping us maintain an effective and respectful scheduling system that benefits all our clients.


Late Arrival Policy

If you arrive late for your scheduled appointment, we want to make sure you still receive the full benefits of your session. However, depending on the extent of the delay, we may need to adjust the treatment time to ensure the quality of your experience. 


Adjustments for Late Arrivals

  • For services over 60 minutes, arriving more than 10 minutes late may require rescheduling.
  • For 90-minute services, arriving more than 20 minutes late will result in rescheduling.
  • Short services (30 minutes or less) cannot accommodate late arrivals beyond 5 minutes.


 In such cases, the original scheduled service fee will be charged. 

Plus, an additional $10 late arrival fee may be assessed.

Refunds Policy

At HandWritten Wellness, we are committed to providing you with the best possible experience and service. Our refund policy reflects this commitment, ensuring clarity and fairness in all interactions.


Refunds and Service Credits:

HWMW typically does not issue refunds. However, in cases where a repeat canceled service or appointment is due to the therapist's error, service credits will be provided. We believe in addressing any concerns with professionalism and making sure you receive the value you deserve.


Understanding Your Services:

When booking any service, whether you are new, soon-to-be, or an established client, we encourage you to thoroughly read the full service description. Some services may require a mandatory consultation before booking. These consultations are crucial to determine whether a service is suitable for your needs or if any contraindications apply.


Importance of Consultations:

We emphasize the significance of consultations as they ensure your well-being and the effectiveness of the services we provide. Please take the time to understand if a consultation is required before booking any service. Our goal is to offer personalized solutions that cater to your specific needs.


No Refunds After Service Payment:

Once payment for a service has been rendered, we are unable to provide refunds. We are committed to delivering the highest quality of care and service, and your payment signifies our mutual agreement to proceed with the booked service.


Reading Service Descriptions:

Before booking any service, we strongly advise you to thoroughly review the service description. This will help you make an informed decision about whether the service aligns with your needs and if a consultation is necessary.

Inclement Weather

Inclement Weather Policy

At HandWritten Massage & Wellness, your safety is our top priority. In the event of inclement weather conditions, we want to inform you about our policies to ensure a smooth experience for everyone.

Appointment Cancellations:

If you have an upcoming appointment and feel it's unsafe to travel due to weather conditions, please contact us as soon as possible to reschedule. Your safety comes first, and we completely understand unforeseen weather challenges.

Notification of Closure:

In case of severe weather that affects our ability to operate safely, we will notify you promptly about any closures. Notifications will be sent via email, text message, and posted on our website and social media channels.

Rescheduling Policy:

For appointments affected by weather-related closures, we will work with you to reschedule at your earliest convenience. We appreciate your flexibility during such situations.

Late Arrival Consideration:

If you're running late due to weather-related delays, please notify us as soon as possible. We'll do our best to accommodate your appointment within the remaining time.

Insurance and Liability Policy:

HandWritten Wellness. LLC maintains professional liability insurance to cover potential claims arising from the provision of massage therapy services.

Liability Limitation: While every effort is made to ensure client safety and comfort during sessions, Tyisha Smith, and HandWritten Massage and Wellness shall not be held liable for any injuries, accidents, or adverse reactions that may occur as a result of the massage therapy treatment, unless it can be proven that the therapist acted negligently or outside their scope of practice.
